Booking a trip with us means that certain terms and conditions apply, as we will be operating your trip. These terms and conditions help us to settle our future conflicts. We request that each traveller who wants to book a trip with us read it in advance.
1. Definitions
- “Company” – Langtang Valley (Altitude Himalaya Pvt. Ltd.)
- “Client” – Any person booking or participating in a trek, including their heirs and assigns.
- “Trek” – Any itinerary, package, or service provided by the Company in the Langtang region and connected areas.
- “Force Majeure” – Unforeseeable circumstances beyond reasonable control, including but not limited to natural disasters, extreme weather, landslides, earthquakes, floods, pandemics, strikes, political unrest, airport closures, or trail blockages.
2. Booking And Confirmation
A booking is confirmed only when:
- A completed booking form is received from each booking.
- A refundable deposit (as per cancellation policy), USD 200 Per Person is paid.
- The Company issues an invoice as written confirmation.
The balance must be paid in full on arrival day (the trip with Kathmandu arrival) or before the trek starts (trip starts w/o Kathmandu arrival). For bookings made within a short period (10 Days), full payment is required immediately.
3. Prices and Inclusions/Exclusions
- General Inclusions: Licensed English-speaking guide, porter services (weight limit as per company policy), necessary trekking permits (TIMS, Langtang National Park entry, RAP), accommodation on twin-sharing basis in hotels/lodges/teahouses, airport transfers, meals as mentioned and all internal ground transportation as per the itinerary.
- General Exclusions: International flights, Nepal visa, meals and drinks not stated, hot showers, battery charging, Wi‑Fi, travel insurance, personal gear, tips, and any extra costs arising from early descent, evacuation, or itinerary changes.
- Prices are quoted in US Dollars and may be subject to change only due to government tax increases, permit fee revisions, or significant currency fluctuation. The Company will absorb small variations but reserves the right to adjust fees if costs rise by more than 5%.
4. Client Responsibilities
The following are the responsibilities of our customers:
4.1 Health and Fitness
Trekking at altitude is physically demanding. The Client must:
- Undergo a medical check-up and be in good health, free from cardiac, respiratory, or other conditions that could be exacerbated by altitude.
- Disclose any pre-existing medical conditions, medication, or dietary requirements in writing at the time of booking.
- Accept that the guide’s decision regarding the Client’s ability to continue is final if the Client’s health or safety is at risk.
4.2 Travel Insurance
Mandatory. Insurance must cover:
- Emergency helicopter evacuation and medical treatment up to at least 4,000 m altitude (specifically Langtang trek maximum altitude).
- Trip cancellation, personal accident, loss/theft of belongings, and repatriation.
- The Client must provide the insurance policy details and emergency contact numbers to the Company before departure. The Company is not liable for any costs resulting from inadequate or absent insurance.
4.3 Conduct
The Client agrees to follow the instructions of the guide and respect local customs, trail rules, and environmental guidelines (e.g., no littering). The Company reserves the right to remove a Client from the trek without refund if their behavior threatens the safety or enjoyment of the group or contravenes local law.
5. Company Responsibilities
- Provide services as described in the confirmed itinerary, using reasonable skill and care.
- Arrange all permits and ground logistics.
- In the event of a medical emergency, assist with evacuation coordination. The Company is not responsible for the cost of evacuation; this is the Client’s sole responsibility through their insurance.
- Inform the Client of any significant changes to the itinerary as early as possible.
6. Cancellation and Refund Policy
6.1 Cancellation by the Client:
All cancellations must be in writing. The following charges apply based on the trek start date:
- More than 10 days before departure: Deposit refund. (fees may applies)
- Less than 10 days or no-show: 100% of total deposit.
No partial refund will be given for voluntarily leaving the trek early, for unused services, or for missed days due to illness.
6.2 Cancellation by the Company:
- If the Company cancels before departure due to insufficient group size (if a minimum number was stated and not reached), the Client may choose either a full refund or a transfer to an alternative date/trek of equal or lesser value.
- In rare instances, the Company may cancel due to Force Majeure (see Section 8). In that case, the Company will refund all payments minus any unrecoverable third-party costs (permit fees, advance lodge payments, etc.) and will provide documentation of such costs.
7. Itinerary Changes and Flexibility
- Mountain trekking in the Langtang Valley involves inherent uncertainties. The stated itinerary is a planned route; the guide may alter the schedule, route, or accommodation at any time for safety, weather, trail conditions, or group well-being.
- Any extra costs arising from a Client-requested deviation (e.g., additional transport, accommodation) will be borne by the Client.
- If a delay due to weather or other external causes extends the trek beyond the planned days, the Client is responsible for all additional food, lodging, guide/porter fees, and transport costs.
8. Force Majeure
Neither party shall be liable for failure to perform obligations if prevented by Force Majeure. In such an event:
- The Company will make reasonable efforts to provide alternative services of comparable standard, but no refund will be given for services not provided due to Force Majeure unless specifically stated in Section 6.
- Any additional costs incurred for alternative arrangements (e.g., extra nights, transport, emergency supplies) shall be paid by the Client.
9. Liability and Assumed Risk
- Trekking in the Himalayas carries inherent risks, including but not limited to altitude sickness, falling rocks, avalanches, hypothermia, wild animals, and trail accidents. The Client acknowledges these risks and assumes full responsibility for them.
- To the maximum extent permitted by Nepalese law, the Company, its guides, porters, and partners shall not be liable for personal injury, illness, death, loss or damage to property, delays, or additional expenses arising from such risks or from acts of third parties.
- The Company’s total liability, if any, shall not exceed the total amount paid by the Client for the trek.
10. Complaints and Disputes
- Any complaint during the trek must be raised immediately with the guide or the Company’s Kathmandu office to allow an opportunity to resolve it. Written notice is required within 7 days of the trek’s end.
- The contract is governed by the laws of Nepal. Any disputes shall be settled amicably; if that fails, they shall be subject to the exclusive jurisdiction of the courts in Kathmandu, Nepal.
11. Privacy and Media
Personal information collected is used solely for booking and safety purposes and will not be shared with third parties except as required for permits or emergency services. The Company may take photographs/videos during the trek for promotional use; the Client may opt out in writing beforehand.
12. Acceptance
By paying the deposit and/or signing the booking form, the Client confirms they have read, understood, and accepted these Terms and Conditions without reservation. These terms bind all persons in the booking.
